1. Introduction
Heirthread, operating from 316 Thanon Sukhumvit, Na Kluea, Bang Lamung, Chonburi 20150, Thailand, is committed to handling personal information responsibly. This policy applies to anyone who contacts us, attends our workshops, uses our facilitation service, or submits records for digitisation and archiving.
If you have any questions about this policy before reading further, you are welcome to reach us at [email protected].
2. Information We Collect
We collect only the information needed to provide our services and communicate clearly with you:
- Contact details — name, telephone number, and email address submitted via our contact form or in person.
- Service correspondence — notes and messages exchanged during consultation, facilitation sessions, or workshop enrolment.
- Documents submitted for digitisation — physical records you bring to us for scanning and archiving. These remain yours; we work on them only with your permission.
- Website usage data — standard server logs and analytics data (pages visited, browser type, approximate location). This does not identify you personally.
- Cookie data — see Section 7 and our Cookie Policy for details.
3. How We Use Your Information
We use the information we collect for the following purposes:
- Responding to enquiries and scheduling appointments.
- Delivering the service you have requested — whether that is a facilitated family meeting, document digitisation, or a workshop place.
- Sending confirmation and follow-up messages related to your service.
- Improving the way our website and services work, using aggregated, non-identifying usage data.
- Meeting any legal obligations that apply to our operations in Thailand.
We do not use your personal information for automated decision-making or profiling, and we do not sell it to third parties.
4. Legal Basis for Processing
We process personal data on the following grounds:
- Consent — when you submit our contact form, you agree to us using your details to respond to you.
- Contractual necessity — when you engage us for a service, processing your details is necessary to deliver it.
- Legitimate interest — for internal record-keeping and service improvement, where this does not override your rights.
- Legal obligation — where applicable law requires us to retain or disclose certain information.
Our operations are based in Thailand and are conducted in accordance with Thailand's Personal Data Protection Act B.E. 2562 (PDPA) and any other applicable legislation.
5. Data Retention
We keep personal information only for as long as it is needed:
- Contact enquiries and correspondence: up to 24 months from the date of last contact.
- Service records related to a completed engagement: up to 5 years for administrative purposes.
- Physical documents submitted for digitisation: returned to you at the end of the service. We do not retain originals.
- Digital copies created during digitisation: retained only as agreed with you in writing, then securely deleted.
- Website analytics data: up to 14 months on a rolling basis.
6. Data Protection Measures
We take practical steps to keep your information safe:
- Access to personal data is limited to staff directly involved in your service.
- Digital files are stored on password-protected systems with restricted access.
- Physical documents in our care are stored securely and handled with care.
- We review our data-handling practices periodically and update them when needed.
- In the unlikely event of a data breach affecting your personal information, we will notify you and, where required by law, the relevant authorities, without undue delay.
7. Cookies
Our website uses cookies to remember your preferences and to understand how visitors use the site. These fall into the following broad categories: essential cookies (needed for the site to function), analytics cookies (to understand general usage patterns), and preference cookies (to remember your settings).
You can manage or withdraw your cookie preferences at any time via our Cookie Policy page.
8. Third Parties
We may share data with a limited number of trusted service providers who assist us in running our website and operations — for example, website hosting or analytics services. These parties are permitted to use your data only for the purpose of providing services to us, and are required to handle it responsibly.
Our website may contain links to external pages. We are not responsible for the privacy practices of those sites and recommend reading their policies separately.
9. Your Rights
Under the Thailand PDPA and applicable data protection standards, you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate or incomplete information.
- Erasure — request that we delete your personal data where there is no longer a lawful reason to retain it.
- Restriction — ask us to limit how we use your data in certain circumstances.
- Portability — receive your data in a structured, commonly used format where technically feasible.
- Objection — object to processing based on legitimate interest.
- Withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
To exercise any of these rights, please write to us at [email protected]. We will respond within a reasonable timeframe and in accordance with applicable law.
10. Children's Privacy
Our services are intended for adults aged 18 and over. We do not knowingly collect personal data from individuals under 18. If you believe we have inadvertently received information from a minor, please contact us and we will remove it promptly.
